The client is a
comprehensive corporate wellness provider, offering a range of preventive
health and wellness services. As the organization expanded, it diversified its
services to include Health Risk Assessments (HRA), Health Coaching, and more
recently, Medical Surveillance solutions.
Challenge
Problem
The organization required
a centralized, HIPAA-compliant wellness portal for its clients’ employees and
administrators. This portal had to facilitate access to health risk
assessments, health coaching plans, related wellness communications, and
medical surveillance functionalities. Simultaneously, it was essential for
company administrators to have the capability to analyze aggregate health data,
monitor utilization rates, and access billing reports.

Solution
After struggling with a
national HRA software that was not only burdensome but also plagued with
critical inaccuracies in the HRA data, the client realized the need for a
custom-built solution. They partnered with Xorbix to
build that solution. This project was divided into three pivotal phases.
Phase 1 – Health Activity Tracker (HAT):
The first phase was dedicated to the development of the Health Activity Tracker
(HAT). This component was crucial for meticulously tracking the daily
activities and health metrics of employees, thereby providing a comprehensive
overview of their health status.

2 – Health Risk Assessment
(HRA) System: The second phase focused on the development of a comprehensive
Health Risk Assessment (HRA) system. This vital component was responsible for
accurately assessing the health risks of employees, thereby enabling the creation
of personalized health coaching plans.
Phase 3 – Medical Surveillance: This
phase introduced a comprehensive system allowing companies and providers to
seamlessly monitor and schedule necessary medical appointments tailored to
specific job roles. For example, roles demanding prerequisite medical checks,
such as a respiratory examination, were integrated into the platform for
efficient management. Using the software, employees were matched to their
respective job roles and the associated medical encounter requirements. Take,
for instance, miners; before initiating their roles, they are mandated to
complete both respiratory and audio evaluations. The system also incorporated
regulatory forms from authoritative entities like OSHA, enabling employees to conveniently
complete them digitally ahead of their scheduled appointments.

The custom-built software
not only streamlined the user experience but also significantly improved data
accuracy, enhancing the experience for both clients and administrators. The HAT
and HRA systems were carefully designed to ensure that the collected data was
both accurate and actionable.

Central Wellness Portal:
This was the central hub that integrated everything. It provided access to the
HAT and HRA systems for employees while enabling administrators to review
aggregate health data, utilization rates, and billing reports.

An interactive PDF Form
editor transformed standard PDFs into interactive forms. While many forms for
encounters were designed for manual completion, this editor allowed providers
to digitally augment these documents. The editor also supported the
manipulation of existing embedded form fields in PDFs. Forms could be filled
out digitally by employees pre or post-appointment and
accessed afterward.
